Dear partners,

on this page you will find the complete information about bus tours for Let It Roll events.


HOW DOES THE COOPERATION WITH A BUS TOUR PARTNER WORK?

First of all we need to sign the Cooperation agreement. If you already are our existing partner and we have a contract signed from previous years, this step is already solved. If you are a new potential partner, please contact us so we can send you the contract.

To become our partner you don’t need to start a company. You can send a bus from abroad as a natural person.

 

 

 

WHAT DO WE EXPECT FROM YOU? 
  • bring at least 1 bus to the event, i.e. approx. 40 people or more
  • ideally include festival tickets (complete package) in addition to bus seats for sale
  • proper communication with the bus tour supervisor from Let It Roll crew and regular sales updates
  • timely generation of official festival tickets from Let It Roll ticketing system for all passengers and ensuring all passengers have these tickets when entering the festival
  • timely payment of tickets before the festival

Tickets available for you to sell:

Payments: 

  • 14 days before the festival the bus tours provider will stop selling festival tickets and update the Sales report, based on which the invoice will be issued.
    • If any customer wishes to purchase a festival ticket during these last 14 days prior to the event, they must do so on the festival website. However, the bus tour provider can continue to sell bus seats.
  • Cashback based on the sales will be directly deducted from this invoice.
  • This invoice must be paid before the festival (due 7 days after issuing). Tickets cannot be paid for in cash at the festival venue.

⇧ You can reach up to a total of 7 % cashback bonus which will be deducted from the final invoice 

* Extra 1 bonus and Extra 2 bonus cannot be reached & obtained in the first year of cooperation

TICKETING INFORMATION

  • Every Bus Tour partner gets access to our GoOut ticketing system. 
    • Go to www.goout.net and create an account using the e-mail you use for our common communication (access to the system will already be assigned to that email) & create a password.
    • After logging in, you should see your event where tickets can be generated.
    • DOWNLOAD THE SYSTEM MANUAL
    • Each partner generates official festival tickets for their passengers themselves and is responsible for ensuring that the visitor has this official ticket with them when entering the festival.
    • The ticket must be always generated before the price increases! After that, the cheaper ticket will get frozen in the system and it will no longer be possible to generate it. You will be notified of this fact a few days before the price increase by the Bus Tour Supervisor from our company. The best way to generate the tickets is as soon as you sell them. 
  • IMPORTANT! Every ticket to Let It Roll events is bound to the customer’s name. Please keep this in mind when generating the ticket.
  • The festival does not allow ticket refunds. If the visitor has purchased a ticket to the festival and does not want or cannot go anymore, there are two ways to solve this:
    1. The customer will resolve the refund of the ticket directly with the bus tour partner, who will refund the money. He will no longer include this ticket in the Sales report and the festival will not invoice him for it. (In this case, festival will invoice only the Refund fee)
    2. The customer resells the ticket to someone else and that new person pays for the Name change fee (see the procedure below).


TICKET CANCELLATION & NAME CHANGE INSTRUCTIONS

Please read carefully the following instructions regarding the change of customer’s name on the ticket or the ticket cancellation to make sure everything is clear. 

Both changes are charged with a fee of 7 EUR

Name change can be done „online“ no later than 14 days before the festival. (It can also be done at the festival, but the fee is higher for the customer there)

NAME CHANGE
  •     (Fyi – You can change the language of the mentioned GoOut landing page where the customers should pay the refund fee in the left menu if you wish. In that case, just be sure to copy a right link before sending it to the customer, because it will change the www address. Languages available are: Czech, German, English, Polish and Slovak)
  • the customer will solve it directly with the GoOut
  • please do not try to change the customer’s name in the system yourself

 


TICKET CANCELLATION
    • when a customer wants to cancel the ticket, he/she will solve it with you
    • you’ll refund the ticket price reduced by the refund fee of 7 EUR
    • you’ll cancel the ticket in the system (the instructions can be found in the manual we’ve sent you)
    • you’ll enter the numbers of cancelled tickets into the Sales report scheduled 
    • then we’ll invoice you only the amount of the refund fee you have collected


INFORMATION WE NEED FROM YOU
TO START THE COOPERATION

  • Signed contract
    • If we do not have a signed Cooperation of agreement yet, please contact us via the contact form or email below and we will send you the agreement.
  • Information for our website
    • Provider: your name / company name
    • Departures: from where are you going / potential stops, if there are any
    • Booking: where/how your customers can book their tickets (link)
    • Contact: e-mail (phone optional)
    • Facebook event: link
  • Confirm the e-mail address to which we can subsequently assign access to the ticketing system & share the Sales report sheet
  • What is a Sales report? 
    1. It is a shared sheet that we require the bus tour partner to fill out regularly in order to have an overview of the current sales.
    2. The sheet should ideally be updated every Friday, or always before the price of tickets goes up at the very latest.
    3. The Bus Tour partner only fills in the cells marked in green, i.e. the date of the last update and the number of tickets sold.
    4. Based on this sheet, festival tickets are invoiced (after checking with the ticketing system).
  • The translation of a PPC campaign to the language of your country. (We’ll pay it on our social media):
  • Confirmation of the exact date and time of your arrival to the festival & whether you need parking for the bus or the bus just drops the passengers there and leaves.

After that, you will receive:

  • A signed contract from our side
  • Visuals & photos for your social media
  • The access to the GoOut ticketing platform 
  • Sales report schedule
  • Listing in the list of the official bus tour partners on the festival website & Facebook event
  • Paid social media campaign from Beatworx budget
